Privacy Policy

This policy explains what information USA Contract HQ (“we”, “us”) collects when you use usacontracthq.com and the USA Contract HQ app at app.usacontracthq.com (together, the “Service”), how we use it, and the choices you have.

Information we collect

• Account information: your name, email address and sign-in details, and the names and emails of team members you invite.
• Company information: your business profile and match settings, such as NAICS codes, set-asides, states and keywords, plus the notes, statuses and records you create in the app.
• Subcontractor information: if you use the subcontractor portal, the names, emails and company details of subcontractors you invite, and the documents they upload, such as licenses, insurance certificates, W-9s, work logs, photos, invoices and certified payroll reports. These documents can contain personal and business information.
• Form submissions: what you send through our contact form and signup notice form.
• Billing information: your plan and billing status. Card details are handled by our payment processor and are not stored on our servers.
• Usage information: basic, aggregated page-view data from Vercel Analytics, which does not use cookies, and server logs such as IP address and browser type used for security and troubleshooting.

How we use it

• To provide the Service: match opportunities to your business, show price data, prepare research briefs, manage subcontractors and contracts, and send the emails you expect, such as sign-in links and document expiry reminders.
• To run your account and billing, answer your questions and keep the Service secure.
• To improve the Service using aggregated, non-identifying information.

We do not sell your information, and we do not use your company’s data to serve advertising.

Public data

Contract opportunities and award history come from public government records. Company names that appear in those records, such as past award winners, are shown as they appear there.

Service providers

We share information only with providers that help us run the Service, under agreements that limit their use of it:

• Hosting and databases (for example, Vercel and Railway)
• Email delivery (Resend)
• Sign-in (for example, Google, if you choose Google sign-in)
• Payment processing (Stripe, once billing is enabled)
• AI providers that generate research briefs from opportunity details and your business settings

We may also disclose information if the law requires it, or to protect the rights and safety of our users or the Service.

How we protect it

Each company’s data is kept separate from every other company’s data. Uploaded documents are stored privately and shared only through short-lived links with people who have access. Subcontractors see only their own company’s records. No method of storage or transmission is perfectly secure, but we work to protect your information.

How long we keep it

We keep your information while your account is open. If you close your account, we delete or anonymize your company’s data within 90 days, except where we must keep records for legal, tax or security reasons.

Your choices

You can update your account and company information in the app. You can ask us for a copy of your data, or ask us to correct or delete it, by writing to us through our contact page and choosing “Privacy or data request”. Subcontractors can ask the company that invited them, or contact us directly.

Children

The Service is for businesses and is not directed to anyone under 18.

Changes

If we change this policy, we will update the date above, and we will notify account owners by email of any material change.
